When a preceptor or site falls through at UofM
Losing a preceptor sends a UofM practicum back through the approvals: written sign-off on the new site from clinical faculty and the clinical coordinator, an approved preceptor agreement form and cleared site onboarding, all before hours resume. UofM publishes no replacement timeline, so the quickest recoveries start from a backup chosen before anything breaks.

What UofM publishes, and what it leaves out
UofM's graduate clinical policies address one piece of this directly. When a change of clinical site becomes necessary, the Bulletin calls for written approval from both the clinical faculty and the clinical coordinator. The schedule and site changes guide carries the full wording and the rest of the scheduling rules.
Past that point the public record is thin. No UofM page or handbook describes how a replacement preceptor is arranged for an MSN or certificate student, how long a replacement may take, or what happens to a course when no new site is approved in time. Those answers sit with your clinical faculty and track coordinator, and the sooner they hear from you, the more room everyone has to work.
UofM does publish one related warning. Its MSN required documents page notes that some clinical partners do not accept vaccine waivers, and that without an alternate site or activity a student may be unable to meet course outcomes. A placement can fall apart over compliance as easily as over a preceptor's calendar.
What a replacement has to clear
A new preceptor or site is handled much like a first placement. Expect each of these to be in place before your first hour with the replacement:
- Sign-off on the site change, in writing, from both clinical faculty and the clinical coordinator.
- A preceptor agreement form covering the new preceptor. The partnerships office signs off on this form before any clinical day, so plan on one for the replacement.
- Site onboarding in HealthStream myClinicalExchange: orientation modules, uploaded documents and a site approval that is granted only once every required item is accepted.
- Complio documents whose renewal dates reach past the end of the new placement, since UofM does not let a document lapse mid-placement.
- An updated clinical schedule for your clinical faculty, in writing.
- The same rotation rules as before, including an NP-precepted rotation where your track requires one, plus the setting your course names.
UofM asks for schedule changes in writing one week ahead, and a sudden cancellation rarely gives you that much notice. Notify your clinical faculty that day and ask how they want the change recorded. Start nothing at the new site until clinical faculty approve it. UofM treats clinical practice without their prior approval as grounds for dismissal from the course.
The seven-week floor and the 2026-27 calendar
Timing is where a late replacement hurts most. UofM does not allow a course's clinical hours to be finished in less than seven weeks, and practicum days stay off university breaks and holidays unless program faculty and administration arrange otherwise. When a preceptor leaves after the term has started, longer shifts cannot win back the weeks that were lost.
Count backward from the last day of classes. Fall 2026 classes run August 24 to December 2, with Fall Break October 10 to 13 and Thanksgiving break November 25 to 29. Spring 2027 runs January 19 to April 28, with Spring Break March 8 to 14. A replacement that starts deep into either term may leave too few weeks, and that conversation belongs with your clinical faculty early, not in the final month.
UofM's graduate Incomplete policy allows one major term to finish an I, and an unfinished I becomes an F automatically. Why large health systems rarely fill a mid-term gap
Several Memphis-area health systems publish lead times that suit a planned placement better than an urgent one. At Baptist Memorial, a graduate nursing preceptorship application is due online at least three months ahead of the start date, and the form asks you to name every preceptor. Regional One Health will not host a preceptorship until an affiliation agreement is fully signed. Christ Community Health Services works from fixed NP application deadlines, and its committee reviews requests after each cutoff.
These are excellent places to train when the paperwork starts early. For a mid-term replacement, though, a practice with a shorter onboarding path is often the more realistic target, and the most useful backup is one vetted before the term begins. UofM does not say which side starts a new affiliation agreement for a student-proposed site, or how long that process runs, so ask your clinical faculty before counting on a site with no agreement yet.
Build the backup before you need it
The strongest protection is a second option picked while everything is still going well. A backup worth having shares four traits:
- It meets the same course requirements as your main site: the setting, the nurse practitioner preceptor rule where it applies, and the residency setting FNP requires, family practice or internal medicine.
- Its preceptor's credentials and practice information are already on file, so a preceptor agreement form can move the day it is needed.
- Its onboarding path is known, including whether it runs through myClinicalExchange and whether a signed affiliation agreement already exists.
- It sits close enough to home that the commute is not a fresh problem, since UofM leaves transportation to clinical sites to the student.
Keep your Complio items current through the end of the term, not only through the first clinical day. A fallback site cannot help while a background check or TB result sits expired in your file.

Questions UofM students ask
What should I do first if my UofM preceptor cancels?
Email your clinical faculty from your UofM account the same day, stop any hours at a site that no longer has approval, and note how many hours you have completed and how many weeks remain in the term. Then start on a replacement that meets the same rotation rules, so the approvals can begin as soon as one is found.
Do I need a new preceptor agreement form for a replacement preceptor?
Plan on it. Under the Bulletin, no clinical day comes before the partnerships office approves a completed agreement form, and a replacement preceptor has not been through that step yet. Ask your clinical faculty how they want the new form handled for your course.
Do my hours with the first preceptor still count?
UofM's public pages do not address how hours from a preceptor who departs mid-course are treated. Keep your own dated record of every approved clinical day, and ask your clinical faculty how those hours apply to the remainder of the course before you schedule days with the replacement.
Can I finish the remaining hours faster with a new preceptor?
Only within UofM's pacing rules. A course's clinical hours must stretch across at least seven weeks, and practicum days stay off university breaks and holidays unless program faculty and administration arrange an exception. Packing the remaining hours into a few long weeks at the end of the term will not satisfy that floor.
What if a clinical site turns me away over a vaccine waiver?
UofM warns that some clinical partners do not accept waivers, and it does not consider Tdap, MMR or varicella waivers at all. If a site will not take you, raise it quickly with the Office of Community Partnerships and Practice, which reviews waivers, and with your clinical faculty.
