HealthStream myClinicalExchange: clearing a UofM clinical site
myClinicalExchange is the HealthStream system LCON uses to manage student clinical requirements with its clinical partners. Once a site is set for your rotation, you complete that site's orientation modules, upload your health and compliance documents, and follow the approval status until the site accepts every item.

What the system does, in UofM's words
The 2026-27 LCON Academic Bulletin describes HealthStream myClinicalExchange as the system "used to manage student clinical requirements with clinical partners." The partners are the hospitals, clinics and practices where UofM nursing students complete clinical hours, and each one sets out what it needs from you inside the system.
The bulletin gives students three jobs there: finish the site's required orientation modules, upload health and compliance documents, and keep watch on approval status. The same description appears in the BSN section and in the MSN clinical policies, so undergraduate and graduate students both work in it.
The line that governs timing is this one: "Clinical site approval will not be granted until all required training and documentation have been completed and accepted." An upload is only a submission. Acceptance is what clears you.
From a confirmed site to an approved one
UofM lists these requirements without a fixed sequence or a processing time, so treat the order below as a practical plan and leave room between steps.

- Site requirements finishedYou work through the site's orientation modules in myClinicalExchange and upload the documents it asks for, each with a renewal date that reaches past the final day of the placement.
- Approval status shows acceptedThe site approves you only when every module and document is accepted. Check the status yourself rather than assuming an upload went through.
- Schedule to clinical facultyYour clinical schedule is due to clinical faculty for approval on Monday of week two, and any later change goes to them in writing seven days ahead. See schedule and site changes.

The two systems hold many of the same documents, which is why students mix them up. The real difference is who each one answers to.

Each partner can ask for more
UofM's bulletin says clinical requirements are "subject to change per contractual agreements between clinical sites and LCON," and it cites the LCON Affiliation Agreements as part of the basis for its rules. Meeting LCON's list does not by itself satisfy a site with extra requirements.
Around Memphis, the differences are easy to see. Baptist Memorial takes graduate preceptorship requests through a separate online application, one per preceptor, and wants it filed at least three months before the start. At Regional One, a preceptorship or rotation starts only after an affiliation agreement is signed and executed. Farther east, some hospitals route graduate student onboarding through myClinicalExchange directly. Erlanger in Chattanooga is one, and it has said it is not entering new affiliation agreements for advanced practice provider student placements at present.
Where the Tennessee Clinical Placement System fits
Older UofM material mentions a second system. The LCON Faculty Handbook for 2024-25 describes the Tennessee Clinical Placement System as the tool "used to obtain uniform and consistent clinical orientation to all hospital facilities in the state of Tennessee." The 2026-27 bulletin, by contrast, names myClinicalExchange for site onboarding.
The two may have merged. West Tennessee Healthcare's facility-orientation link for the Tennessee Clinical Placement System now redirects to HealthStream's myClinicalExchange page, which suggests the orientation moved over. No hospital page confirms it, so if a site in the Jackson area mentions a TCPS orientation, ask your clinical faculty which system to use.
Timing that keeps approval on schedule
No UofM source gives a processing time for site approval, so plan backward from the first clinical day. Your documents have to stay current through the last day of the placement, the agreement form needs approval before day one, and clinical practice before clinical faculty approve your schedule is grounds for dismissal from the course.
A few dates frame 2026-27. The Spring term runs January 19 to April 28, 2027, and the first NP practicum on every track lands in a Spring term. Clinical days are not held on university breaks or holidays unless program faculty and administration arrange it, so Spring Break, March 8 to 14, is off the clinical calendar.
An upload is not an approval: the site clears you only when every module and document shows as accepted.
How we get your site ready for myClinicalExchange
UofM may or may not take part in finding your preceptor. Either way, you get a preceptor and clinical site close to where you live that meet its rules, and before we propose a site we confirm how it onboards students: through myClinicalExchange, its own application, or both.
Then we handle the paperwork that often stalls a start: the preceptor's credentials and practice information for the agreement form, site information for the Office of Community Partnerships and Practice, and a dated plan for your Complio and myClinicalExchange items so none of them lapses mid-rotation. If a site stalls or a preceptor drops, we line up a replacement. Start with the form and tell us your track and first practicum term.
Questions UofM students ask
Do UofM BSN students use myClinicalExchange?
Yes. The bulletin's BSN section carries the same description as the MSN policies: at a clinical site, students complete orientation modules, upload health and compliance documents, and follow approval status in myClinicalExchange. The difference is upstream, since BSN clinical placements are assigned by the college while the onboarding steps inside the system stay the same.
How long does myClinicalExchange approval take for UofM students?
UofM publishes no processing time, and each clinical partner reviews on its own schedule. What UofM does state is that approval waits until every required training item and document is accepted. Build in several weeks before your first clinical day, and far longer at systems such as Baptist Memorial that want graduate applications three months ahead.
What if my clinical site uses its own application instead?
Follow both sets of rules. LCON's own requirements still apply, and the bulletin ties clinical requirements to the contract each site signs with LCON. Some systems run a separate student application alongside or in place of myClinicalExchange. Your clinical faculty and the Office of Community Partnerships and Practice can confirm what a given site needs.
Does a new clinical site need an affiliation agreement with UofM?
The bulletin refers to LCON Affiliation Agreements, and some partners, Regional One among them, require a signed agreement before any rotation begins. Who files the request for a new site's agreement, and how long approval runs, is missing from UofM's published rules, so bring a site that is new to UofM to the Office of Community Partnerships and Practice early.
What should I do if my approval status stalls?
Find the item that is still outstanding, since a site approves only when every module and document is accepted, and fix or replace it. If the delay threatens your start, tell your clinical faculty early: clinical days need their prior approval, and any change to an approved schedule has to be given in writing a week ahead.
